We use an online reservation system to reserve seats and record your contact details. The online reservation system is used to reserve any seat in the respective institution. The online reservation system can be used by all students and employees of the Studierendenwerk Ulm as well as employees of the universities and associated institutions supported by the Studierendenwerk Ulm. An online seat reservation may only be made and is only permitted if lunch is also taken. It is not permitted to take the food, crockery or trays with you.
A valid e-mail address is required for use. A reservation can only be made with e-mail addresses from the domains of the universities served (e.g. ...@uni-ulm, ... @ph-gmuend.de etc.). An online seat reservation can be made a maximum of three days in advance.
During the reservation process, a verification code will be sent to your e-mail address after you have entered your contact details. Attention: Check your spam filter! This verification code must still be entered during your reservation request to confirm your e-mail address. Using the option "Save my data", your contact data and the verification code can remain stored in the browser on the device you are using (cookie and local storage); this enables you to transfer this data to the server of the reservation system for further reservations without having to enter it again. After a successful reservation, you will receive a QR code with the booking ID and your further reservation information (booking ID, facility, day, time slot). You will receive the QR code and the further reservation information as an e-mail (check spam folder if necessary); alternatively, you will also be shown the QR code in the browser at the end of the reservation process for a printout that may be necessary. The QR code must be presented for scanning at the entrance when visiting the facility; you must also have the other reservation information with you when visiting the facility and be able to show it when requested by our staff. It is sufficient to carry the QR code and further reservation information on a smartphone and show it (email, wallet app); alternatively, you can use the printout.
When staying at the respective facility, the reserved time slot of a maximum of 30 minutes must be adhered to. Access to the respective facility is possible up to 5 minutes before the start of the reserved time slot; access must be made no later than 10 minutes after the start of the reserved time slot or your reservation will automatically expire. If your reservation has automatically expired, you will not be able to reserve a seat again and thereby gain access until the next free time slot.
Cancellation of reservations already made is possible via the reservation confirmation sent.

The online reservation system serves to protect your health, the health of our employees, rapid traceability of possible chains of infection with the novel Covid 19 virus and compliance with the legal provisions in force in the course of the pandemic. The legal basis is Art. 6 para. 1 lit. c DS-GVO and the respectively valid ordinance of the Baden-Württemberg state government on infection control measures against the spread of the SARS-CoV-2 virus (Corona ordinance CoronaVO) as well as the respectively valid ordinance of the Ministry of Economics on infection control measures against the spread of the SARS-CoV-2 virus in the business area of the Ministry of Science (Corona ordinance Studienbetrieb und Kunst - CoronaVO Studienbetrieb und Kunst).
The following data is collected from you in the online reservation system:
First and last name, street and house number, postal code and city, telephone number, e-mail address, verification code, date as well as beginning and end of the reserved time slots, times of scanning the reservation (entering the institution), if applicable, times of cancelling a reservation.
This data collection is solely for the above purpose. Your personal data will not be used for any other purpose.
According to the current legal situation, the data will be kept for 30 days. After this time, the personal data will be deleted or irrevocably anonymised.
The data will only be transferred to the health authorities after a written request from them. For the purposes of infection control, the currently applicable legal provisions require us to provide information to the competent health authorities. If your personal data is requested by the competent health authority, the respective district administrator or mayor is responsible for the further processing of your personal data with the health authorities.
By providing your data, you also give your consent to the use of the data. You are entitled to the data subject rights according to Art 12-22 DS-GVO.
